Introduction

This resource serves as an introduction to how the project application system on our Discord works. Note that this article is targeted at and discusses channels only accessible to members of the build team. Make sure to look at the Project Management article as well.

Project Application Template

The goal here is to work off of the basics set by the Overseers to fully flesh out the given project.

Project Applicants (Builder and up) need to create a project application document with Google Docs that follows this template:

Introduction

A few introductory sentences about the project and the Applicants’ own ideas and considerations. Own conlore on a small scale to match the project and lore is welcomed, but is not required and should be compatible with the size of the project.

Lore

Everything (Yes, everything) which is directly from Tolkien's Lore regarding that project. Should contain direct quotes and the book/chapter name, example: (“So they came to a wide green land, and beyond it was a broad river in a silver haze, out of which rose a long wooded isle, and many ships lay by its shores”, ROTK - The Field of Cormallen).

Conlore on a small scale is also welcomed, but is not required, and should be fitting with the size of the project. Conlore must be very deeply considered and gone over in detail with project leads.

Template  

Applicants complete a rough template (2D plan) of the project to determine the general footprint and spacing. They may want to complete an additional drawing/mark out in an image editing program before this work begins. The template they submit should be made with wool and canvas blocks on their plot using the map’s terrain.

Plotting

Applicants need to plot their template too. They need to consider the lore, professions, and population numbers given for each project. Templating and plotting will be more or less interwoven depending on the project.

Outskirts (If Applicable)

Applicants need to prepare a rough plan of how they want the surroundings of their project to pan out. This may include fields (based off the region’s farm map), orchards, allotments, threshing floors, pastures, professions, etc. The Applicants must show that they have read and understood the corresponding documents and guides.

Terrain

If your project has terrain-related work, provide information on what is required, what it will look like, how much there is etc. Include these tasks in the above planning stages if necessary. Additionally; explain how the terrain work will be carried out - if Landscapers are necessary, provide details on who will be helping, what the plan is etc.

Tests

Show images of your concepts that you have made to test different aspects of your project. For a settlement, this might be concepts of the walls or defences if there are any, a row of houses, etc.

Research Inspirations (If Applicable)

Provide specific research or inspirations suiting to your project if necessary.

Application is chosen

The regional Overseers select the most suitable application based on certain criteria. As the finer deve of the project now begins, the Applicants' layout gets pasted onto the main map in agreement with the Overseer.

Finishing touches

If needed, the Overseers help the Applicants further refine their plans. If applications are similar or certain contents of another application appear interesting, a collaboration between multiple applications may also be possible.

Final preparations for opening

Once the templating and plotting are final, the Applicants prepare plots with clear borders, basic descriptions, and other important markers. Agaon, make sure to check out the resource for Project Management as it gives you rundown of what you need to do as a Project Lead.

Project opening

Once the Overseers have given their final approval, the project can be opened to the public. The new leads now make a post in the project thread on Discord that collects and clearly lists all the important information established throughout the application process. The post is pinned and serves as the foundation for the project going forward. It needs to follow this format.
